Beyond the knowledge base — giving Buildgrid agents real-time data

A RAG-based agent is only as current as the document it last indexed. That is fine when the question is “what is our refund policy?” It is not fine when the question is “where is order 41882 right now, and can we still hit the Friday delivery slot?”

Operations teams keep running into this wall. The agent on Teams or WhatsApp can answer policy questions in 80+ languages, but the moment a real-time signal is needed — stock level, order status, ticket queue, sensor reading — the conversation has to break out to a different tool, a different person, or a phone call.

We have closed that gap. Buildgrid agents can now read from, and write to, live business systems in real time, through our integration with fyrn.ai. Your agent stops being a smart librarian and starts behaving like an informed colleague with access to the systems that actually run the business.

What changes when the agent can see live data

Two things, both practical.

First, the agent’s answers stay anchored to the truth at the moment of asking. The shift supervisor on the warehouse floor types “how many pallets of SKU 4471 are in bay 3?” and gets a number that matches the WMS, not a number from last night’s export.

Second, the agent can act. With the right permissions, it can place an order, raise a ticket, update a record, trigger a workflow. It stops being a read layer over your knowledge and becomes a thin, conversational layer over the systems your teams already use.

Both of these were possible before, in theory, with a custom integration project per system. The practical change is that they are now configurable, not bespoke.

Why we partnered with fyrn.ai

Buildgrid’s job is the knowledge layer: ingesting documents and databases, grounding answers in sources, deploying across Slack, Microsoft Teams, WhatsApp, web chat, and API. We do that well, and we keep our focus there.

Integrations are a different problem. Every enterprise has a different stack — SAP, NetSuite, Salesforce, ServiceNow, a homegrown WMS, and the regional ERPs that quietly run the rest of the business: Oscar Software, Lemonsoft, and the long tail of vertical systems no one has heard of outside their industry. Building and maintaining hundreds of connectors is a full-time job for a different kind of company.

fyrn.ai is that company. It is a European integration platform with the connector library, the orchestration engine, and the operational tooling to make real-time data exchange between business systems boringly reliable. Three use cases that open up

These are not hypotheticals. They are the conversations we are having with operations leaders this quarter.

1. Order status and lifecycle management

Customer service, internal sales, and field reps ask the same question all day: where is this order? Today, that means logging into the ERP, filtering, copying, pasting, replying.

With a real-time connection, the agent reads the order record on demand, summarises status in plain language, and — where the user has permission — updates the delivery date, splits the shipment, or flags an exception. The trail of who asked and what changed is captured automatically.

The result is fewer context switches for the team and faster answers for the customer. The deflection numbers tend to surprise people.

2. Product and master data management

Product managers and category teams spend a disproportionate share of their week tidying master data: missing attributes, conflicting descriptions across channels, expiry dates on certifications. Most of that work is read, compare, update.

A Buildgrid agent connected to the PIM, ERP, and downstream channel systems can answer “which products are missing CE marking documentation?” in seconds, and on request, kick off the workflow to chase the supplier. The audit trail is the agent transcript plus the underlying system log — two records, one story.

3. Warehouse and shop-floor monitoring

The most interesting use case so far has been the simplest. A site manager wants to know — by voice, on WhatsApp, between two other tasks — whether anything is off: stock-outs, temperature alerts on a cold chain, a conveyor down, a delayed inbound.

With fyrn.ai feeding live readings from the WMS, SCADA system, or IoT layer into Buildgrid, the agent can give that one-line answer. “Everything green except cold store B — temperature has been 0.4°C above threshold for 12 minutes. Want me to raise a ticket?”

The shift is from dashboards-you-have-to-check to an agent-that-tells-you. For sites that already have the data but not the attention to watch it, that is a meaningful change.

What this does not change

Trust by design still applies. Every answer the agent gives, whether from a document or from a live system, carries a source citation: the policy PDF, the order record, the sensor reading, with timestamps. Permissions follow the user, not the agent. Actions that change data require explicit confirmation by default, and can be scoped tightly per role.

We are also being deliberate about what the agent should not do. Real-time access is powerful, and the temptation to give an agent broad write permissions across critical systems is real. We default to read-only on new connections, and recommend customers start there. Action-taking gets added one workflow at a time, with the relevant team in the room.

What you need to get started

If you are already a Buildgrid customer, the connection is configured from the admin console. Pick the systems you want the agent to read from or write to, map the data, and choose which users get which scopes. The fyrn.ai connector library covers the systems most European enterprises run; bespoke connectors are available where they are not.
